Save a copy of your file locally

Look for files on your Mac or PC

Organise your files

Create new folders

  2. Tap iCloud Drive, On My [device], or the name of a third-party cloud service where you want to keep your new folder.

  5. Select New Folder.
  6. Enter the name of your new folder. Then tap Done.

On iOS 12 or earlier, tap New Folder . If you don't see New Folder or it's grey, then the third-party cloud service doesn't support new folders.

When you delete a file from iCloud Drive or On My [device], it goes into your Recently Deleted folder. If you change your mind or accidentally delete a file, you have 30 days to get it back. Go to Locations > Recently Deleted. Select the file that you want to keep and tap Recover. After 30 days, your files are removed from Recently Deleted.

You can also sign into iCloud.com from your Mac or PC, then go to iCloud Drive and check Recently Deleted.

Share folders and files with your friends or colleagues

Want to share with a friend or colleague? You can share any folder or file stored in iCloud Drive directly from the Files app. In iCloud Drive, tap Select, choose the file or folder that you want to share, tap Share and select Add People. Or maybe you want to collaborate on a project in real time. The Files app lets you do that too with your Pages, Numbers and Keynote documents. Select the file and tap Share or > Add People . You can invite them to collaborate through Messages, Mail or copy and paste a link. Your participants are colour-coded. And you can see when they're online, actively working on your shared document.

Use third-party apps in Files

The Files app lets you add your third-party cloud services – like Box, Dropbox, OneDrive, Adobe Creative Cloud, Google Drive and more – so that you can access all of your files on all of your devices. The files you keep in iCloud Drive automatically appear in the Files app, but you need to set up your other cloud services to access them in the Files app too.

Add third-party apps

  1. Download and set up the third-party cloud app.
  2. Open the Files app.
  3. Tap the Browse tab.
  4. Tap More > Edit.
  5. Turn on the third-party apps that you want to use in the Files app.
  6. Tap Done.

If you don't see one of your third-party cloud services in the Files app, check with your cloud provider.

Do more with Files on iPadOS

If you're on iPadOS, you can access files on a USB flash drive, SD card or hard drive through the Files app on iPadOS. Just connect the drive, and then you can select it under Locations. You can also connect to unencrypted storage on a file server, if that storage is using the APFS, Mac OS Extended, MS-DOS (FAT) or ExFAT format. You also have the option to view your files in Column View, which is helpful if you have files nested in multiple folders. Column View lets you see previews of files and offers access to tools like markup and rotate without even opening a file.

Connect to a file server

  1. Open the Browse tab.
  2. Tap More .
  3. Select Connect to Server.
  4. Enter the SMB address.
  5. Tap Connect.
  6. The server name appears under Shared in the Browse menu.

Switch to Column View

  1. In landscape mode, open the Browse tab.
  2. Select a folder.
  3. Swipe down on the right side of the screen.
  4. Select Column View in the upper right.
  5. Tap a folder to expand its contents.
  6. Tap a file to see a preview.

To leave Column View, tap Grid View or List View , or use your iPad in portrait mode.

Why you might want to protect a folder with a password

You wouldn’t show your credit card statements in public. So why not protect financial or health information on your computer? If you share your Mac with someone else, password protection will cover up files that you don’t want anyone to see. That also keeps your private data private if you lose your device.

Even if you’re the only user of your Mac, locking and encrypting your sensitive files is a must these days. Did you know that some data-mining apps could spy on your documents and folders? As cybercriminals adopt new tactics and code innovations, there’s no telling if your computer is hacked, until your bank account turns out to be empty.

How you can keep your files safe

To be on the safe side, savvy Mac users regularly check their computers with anti-malware software. My personal favorite is CleanMyMac X, as Apple notarized it on macOS Catalina. It comes with a Malware Removal tool that deals with Mac-specific viruses. Here is how it works:

  1. Launch the app (get a free version here).
  2. Choose the Malware Removal tab in the sidebar.
  3. Click Scan.
  4. If CleanMyMac X detects a threat, press Remove to get rid of it. If it doesn’t, congratulations! You have no malware on your Mac.

How to password lock a folder on Mac

With Disk Utility, which is available on every Mac, you can encrypt and password protect a folder by turning it into a disk image (DMG). Follow the steps below:

  1. Open Finder > Applications > Utilities > Disk Utility.
  2. Go to the File menu > New Image > Image from Folder.
  3. Select a folder you want to password protect in the dialog box that appears, then click Choose.
  4. Enter a filename for the disk image and select where to save it.
  5. Pick a preferred encryption option from the dropdown menu: 128-bit AES encryption (recommended) or 256-bit AES encryption (more secure, but slower).
  6. Enter and verify your password in a new dialog box. Tap the key icon to open Password Assistant and check how secure your password is. Once you’re done with a password, click Choose.
  7. There is no way to recover the password to password-protected DMG file, so choose the one you won’t forget or write it down in a safe place.

  8. Click the Image Format menu and pick ‘read/write’.
  9. Click Save, then click Done. Now your folder is password-protected.

Note that the original folder is still on your Mac. Make sure you have no issues accessing the DMG file, then trash the original folder so that no one gets access to it.

How to lock a folder on Mac without Disk Utility? You can do that with Terminal or third-party apps with similar functionality. Still, I opt for Disk Utility, as this method is relatively fast.

How to use a password-protected folder

Go to the location where you saved the disk image and double-click to open and mount it to your Mac. Enter the password when prompted and press OK. You can optionally check the box to save the password in your keychain.

Once you enter the password, the DMG file mounts in two places: on your desktop and in the Finder sidebar. Click either one of these to open the folder.

To password protect it again, click the eject icon in the Finder sidebar. That’s it!
